Your personal information will not be sold, shared, or rented to any third party for marketing purposes. Data may be disclosed only:

• To Law enforcement authorities, if legally required.
• To authorized service providers supporting app functionality, under strict confidentiality agreements.

You have the right to request deletion of your personal data, in accordance with applicable data protection laws.

We value your privacy & security and are committed to protecting your health-related data.

• Collection & Usage: With your explicit consent, the app may access data from Apple Health, Google Fit, Garmin, Strava, etc., we request access to steps, distance, and exercise session information to provide health and fitness features.
• Local Processing: Fitness data is processed locally and visible only to you and designated event administrators. It is not shared with third parties.
• User Control: You may enable or disable data sharing at any time via your device settings.
• Security: The app is hosted on AWS (Amazon Web Services), with advanced security that complies with international safety and security standards.
• Data Retention: Health data is retained only as long as necessary. Users may delete their data within the app settings.

Carelon.Engage’s use of Google Account information complies with the Google API (Application Programming Interface) Services User Data Policy, including the Limited Use requirements.

By using the app, you consent to our data collection, processing, storage, retention and privacy practices as outlined in the Privacy Policy. Key points include:

• We collect only essential data such as email address, name, phone number, location, and usage data to improve our services.
• Location data and device permissions (camera, storage) are required for specific features but can be managed via your device settings.
• Your data is not sold or shared with advertisers or external entities.
• You have the right to request access, modification, or deletion of your data at any time.

In the event of a data breach, affected users will be notified within 72 hours, in accordance with applicable regulations.

We collect only the minimal Personally Identifiable Information (PII) necessary for app functionality—specifically, the user's name, mobile number, and official email ID. These details are stored in encrypted form and are used solely for identification, authentication, and communication within the app.

Associates are strictly advised not to share or input any additional personal or sensitive information—including but not limited to government-issued IDs, health data, personal email IDs, or residential addresses—within any part of the app including posts, chats, forms, discussion forums, or profile fields. The platform neither requests nor processes such data and will not be responsible for any consequences arising from the voluntary sharing of additional PII by users. Furthermore, associates are requested to submit only their own personal information and must not enter data on behalf of others or use information that does not pertain to themselves. Associates must not post any content that is offensive or inappropriate, including but not limited to:

• Unethical or inflammatory comments
• Rumours, bullying, or harassment
• Discriminatory or racist remarks
• Content promoting groupism or divisiveness

Violations may result in content removal and disciplinary action, up to and including termination, in accordance with company policy.

All collected associate data is encryption and securely stored in AWS practices. As the data is stored in AWS, data security and cross border compliance is adhered. Access is restricted to authorized personnel only and managed in compliance with applicable data protection laws.

Note: The data is stored on Amazon cloud which abstracts the region where its physically stored.

In cases where data is processed or stored outside the user’s region (e.g., India), appropriate safeguards—such as contractual obligations, access controls, and encryption protocols—are implemented to maintain data privacy and international compliance.

All collected user data is protected using industry-standard encryption and secure storage practices. Access is restricted to authorized personnel only and managed in compliance with applicable data protection laws. The details of these security measures are as below:

• Tool encrypts the sensitive (PII) data stored in the Carelon.Engage databases and cloud buckets.
• For data in transmission, we use standard encryption mechanisms in the APIs communicating between the app and the server.
• Authorized Certificate Managers are used for managing SSL/TLS (Secure Sockets Layer and Transport Layer Security) certificates.
• Every account in the Carelon.Engage app is created and managed through its lifecycle as per the process discussed and agreed with Carelon at the time of rollout of the app.
• This process is reviewed and updated regularly in consultation with the Carelon managers.

You may request the deletion of your personal data by:

• Navigating to your account settings within the app.
• Note: Some data may be retained for legal or security reasons.

Users must not include any sensitive information such as CSI (Company Sensitive Information), including PHI (Protected Health Information), PII (Personally Identifiable Information), and PFI (Protected Financial Information) about company customers and clients, in any form of content shared on the platform.

Posting content that is deemed offensive—including but not limited to unethical comments, sensitive or inappropriate material, rumour’s, bullying, discriminatory or racist remarks, or content that promotes groupism—is strictly prohibited. Any non-compliant or inappropriate content may result in immediate action, including removal of the post and corrective measures, up to and including disciplinary action or termination, in line with company policies.

If found any inappropriate post that contains above sensitive information, kindly report to Incident Reporting channel.

All misconduct or misuse of PHI/PII must be reported to CarelonPrivacy@carelon.com or if you are reporting it through Carelon provided asset then use Privacy & Security Disclosure Report eForm.

We reserve the right to modify these terms at any time. Updates will be posted within the app and communicated to users for acceptance. Continued use of the app implies acceptance of the revised terms.
